Terms & Conditions

These Terms and Conditions ("Terms") govern your use of ExpenseDock, a service provided by Live Shuttle ehf., Biskupsgata 5, 113 Reykjavík, Iceland, registration no. 4706120610 ("ExpenseDock", "we", "us", or "our"). By using ExpenseDock, you ("User", "you") agree to these Terms.

1. Service Description

ExpenseDock provides a receipt management and expense processing service. The Service allows users to forward or upload receipts, which are then processed by our system to extract data. Users may store, categorize, and export data in formats including Excel/CSV.

ExpenseDock uses automated technologies and best efforts to process receipts accurately. However, ExpenseDock cannot guarantee that extracted data will always be correct, complete, or suitable for accounting or tax purposes.

2. User Responsibilities

• Users are solely responsible for reviewing and verifying all processed data before using it for accounting, reporting, tax filing, or other purposes.
• Users remain responsible for complying with all applicable tax and accounting laws in their jurisdiction.
• ExpenseDock is not an accounting service and does not provide legal, tax, or financial advice.

3. Subscriptions, Payments, and VAT

• ExpenseDock is offered on a subscription basis with automatic renewal unless cancelled before the renewal date.
• Subscription fees, overage charges, and any applicable add-ons will be billed according to the plan selected.
• VAT (Value Added Tax) applies to subscriptions and overage charges for Icelandic companies only.
• For Enterprise contracts invoiced directly, invoices are payable within 5 days. Late payments may accrue statutory default interest in accordance with Icelandic law.

4. Limitations of Liability

To the maximum extent permitted by law:

• ExpenseDock is provided "as is" and "as available."
• ExpenseDock disclaims all warranties, express or implied, regarding accuracy, reliability, or fitness for a particular purpose.
• ExpenseDock is not liable for:
  • Errors, omissions, or inaccuracies in processed data.
  • Data loss, corruption, or failure of storage systems.
  • Service downtime or unavailability.
  • Indirect or consequential damages, including lost profits, penalties, or compliance failures.
• In any case, ExpenseDock's total liability shall not exceed the amount paid by the User in the preceding twelve (12) months.

5. Data Storage and Privacy

User data is stored within the European Union (currently AWS servers in Ireland). ExpenseDock maintains a separate Privacy Policy that governs collection, use, and protection of personal data.

6. Termination and Suspension

• Users may cancel their subscription at any time; cancellation will be effective at the end of the current billing cycle.
• ExpenseDock reserves the right to suspend or terminate accounts for misuse, non-payment, or breach of these Terms.

7. Changes to Terms

We may update these Terms from time to time. Users will be notified of material changes, and continued use of the Service after notice constitutes acceptance of the revised Terms.

8. Force Majeure

ExpenseDock is not liable for delays or failures caused by circumstances beyond its reasonable control, including but not limited to natural disasters, power failures, internet disruptions, or third-party service outages (e.g., AWS).

9. Governing Law and Jurisdiction

These Terms are governed by the laws of Iceland. Any dispute arising out of or relating to these Terms shall be subject to the exclusive jurisdiction of the District Court of Reykjavík.
